Define the occasion before selecting the estate
A birthday dinner for registered guests is different from an event with outside visitors, suppliers or entertainment. Tell the villa team the full plan before committing to a property. A large garden, pool terrace or dining table does not establish permission to host a celebration.
Make the location serve the guests
For an Ibiza gathering, late-evening transport and house rules deserve early attention. In Los Cabos, consider the journey between the villa and the planned outing. In Los Angeles, group activities by neighborhood rather than sending everyone across the city several times a day. Ask how vehicles, deliveries and guests will arrive at the property.
Put permissions and costs in writing
Confirm the permitted guest count, visitor arrangements, supplier access, sound restrictions and any event charges with the property team. Agree food, seating and a weather alternative. VIC can help organize the brief, but the final celebration plan must match the property’s written approval.
