Plan the final leg
Arrival is not finished when the international flight lands. A Bahamas or St. Barts stay may require another connection, while a Costa Rica villa may have a substantial final road journey. Confirm every stage, who is meeting the group and how changes will be communicated. Keep luggage and vehicle capacity in the same conversation.
Prepare a useful first evening
Choose a short list of essentials: drinking water, breakfast ingredients, children’s needs and an easy dinner plan. Agree the grocery budget and the person responsible for the order. Check whether the requested arrival time matches the property’s confirmed check-in window; early access should never be assumed.
Make the handover count
Ask the host to explain locks, pool arrangements, household systems and how to reach support. Share the group’s priorities without immediately filling the evening with activity. A calm handover gives everyone time to understand the setting and makes it easier to enjoy the following morning.
